Getting started with Appricity

This guide covers your first half hour. By the end you'll have a workspace that knows your company, an agent with a name, one connected channel, and a test conversation behind you.

1. Sign up

Create an account with your email address and a password. Your account comes with a new workspace, and you're its admin. Every new workspace is set up with recommended defaults: five role surfaces, a default agent, the standard refusal topics and a sales methodology, so nothing needs configuring before it works.

2. Follow the setup wizard

A new workspace opens the setup wizard. Each step has Back, Skip and Next.

  1. Company: confirm your company name and, ideally, give your website. It's the fastest way to teach Appricity what you do.
  2. Roles: What should your agents do? Pick the jobs you want agents for, such as answering enquiries or qualifying leads.
  3. Agents: Meet your agents. Name each one and pick a voice; you can hear it before you decide. Three recommended voices are on every plan. On Team and above, More voices… lets you browse the full voice library, with the agent's gender listed first.
  4. Knowledge: What should they know? Crawl your website and drop in documents: PDFs, Word and PowerPoint files, HTML, Markdown and plain text.
  5. Channel: Where do people reach you? Connect WhatsApp or an email mailbox. You can skip this and do it later.
  6. Try it: have a conversation with your agent as if you were a customer. Nothing is sent to anyone.

When you finish, the workspace is live.

3. Check what Appricity learned

Open Knowledge → Company profile. A minute or so after your knowledge is processed, Appricity drafts a profile: what you sell, to whom, your value, typical buyers and common objections. Correct anything that's wrong and Save. Your edits are never overwritten.

Then look at Knowledge → Sources to check every source shows ready.

4. Ask the brain a question

Open Work → Conversations, choose + New, and ask something a prospect would ask. Click the numbered citations to see which passages the answer came from. If an answer is thin, the fix is usually more or better knowledge.

5. Decide how agents hand over

Connect a channel if you skipped it, open it, and look at Answer incoming messages. The recommended settings are already filled in; read the hand-over rules (pricing, legal, an unhappy contact, an unclear opt-out, a request for a person, repeated failure) and adjust them to how your team works. Use Try it again after any change.

6. Invite the right expectations

Agents introduce themselves by name, say they're an AI assistant when asked, and hand over to a person when they should. Let your team know conversations may be handed to them, and where to find them: Needs review for new senders the agent wasn't sure about, and each channel's conversation list for hand-overs.

Can I skip the wizard?

Yes. Skip setup takes you straight to the workspace. You can come back at any time from Settings → Setup wizard → Run setup again.

What next?

  • Adding your knowledge: getting the most from sources, crawls and bulk import.
  • Choosing a methodology: picking and customising how agents run discovery.
  • Connecting WhatsApp or Connecting email.
  • Following up leads with playbooks.
