Voice exemplars: sounding like your team

Your documents say what your product does. They rarely say it the way your best people do. Voice exemplars are short passages from your own calls and demos that show the brain how your team explains things, so its answers borrow your phrasing and rhythm instead of the tone of a datasheet.

What is an exemplar?

A passage from a transcript of one of your demos or calls, picked by you as a good example of how your team talks. Exemplars shape style, not content: they're never quoted in an answer, and an answer's facts and citations always come from your knowledge.

Each exemplar has a category:

  • Opening: how you start a conversation or a demo.
  • Objection handling: how you respond to pushback.
  • Closing: how you agree next steps.
  • Transition: how you move from one topic to the next.
  • Specific topic: how you explain one particular subject.

When are they worth the effort?

  • Your brand voice is informal, but your documents are dry product copy.
  • Your sellers have a particular way of explaining value, and you want answers to echo it.
  • You sell in more than one language and want each to read naturally, not like a translation.

If your documents are already written the way you want agents to sound, you may not need exemplars at all.

How do I add them?

  1. Add a transcript of a demo or call under Sources → Add source → Paste text, choose the Transcript type, set the language, and tick Demo recording. Appricity splits it by topic.
  2. Open Knowledge → Voice and choose + Add exemplar.
  3. Search the demo passages, pick a good one, choose its category, and optionally add notes about why it's a good example.

Demo narrations recorded in Demo Studio also become knowledge you can draw on.

How do I keep them good?

  • Keep each one short: a few sentences is plenty.
  • Choose passages that read well as text. A line that sounded great on a call can read oddly once transcribed.
  • Match the language. Exemplars work best in the language of the conversation.
  • Review them as your messaging changes. Edit changes an exemplar's category or notes, and Deactivate retires it without losing it.

Why can't I find any passages to choose from?

Exemplars can only be picked from transcripts marked as demo recordings. Add one first, as in step 1 above, and wait for it to finish processing.
