Leads and lead sources
Leads is the list of everyone who has asked to hear from you: where they came from, what they asked about, and how far the conversation with them has got. Leads arrive from lead sources, and a playbook can have an agent contact each one within minutes.
Where can leads come from?
- Hosted form: Appricity gives you a form page you can link to or embed on your site, or you can post to it from your own form. It has spam protection and rate limits built in.
- Webhook: send leads from any system that can make a signed web request. The signing secret is shown once, and you can rotate it.
- CSV import: upload a list with columns for name, email, phone, WhatsApp, company, interest and consent; up to 5,000 rows. Rejected rows are listed with the reason.
- CRM: pick up new leads (or new contacts) created in Salesforce, HubSpot or Pipedrive after the source is set up, optionally filtered on one field.
- Added by hand: from the Leads page, with a tick to record that they agreed to be contacted.
Each source carries its own consent text, versioned, and every lead records which version it agreed to. Lead sources live under Playbooks → Lead sources.
What happens to duplicates?
If the same person arrives from the same source again within 24 hours, the new lead is marked Duplicate and nobody is contacted twice.
What do the statuses mean?
New · Queued · Contacted · Engaged · Qualified · Meeting booked · Converted · Not interested · Disqualified · Stopped (no reply) · Couldn't contact · Duplicate.
Statuses move on their own as the agent works (contacted when the first message goes, engaged when they reply, meeting booked when a meeting is booked) and you can change them by hand, singly or in bulk. Disqualifying asks for a reason.
What can I do with a lead?
From a lead's page:
- Start outreach with a playbook, or Stop outreach (the conversation so far is kept);
- Open the conversation, see any booked meeting, and read the lead's timeline;
- Edit their details, including their time zone and owner agent;
- Convert to contact when they become a real opportunity. Their history is kept, and the lead is linked to a matching CRM contact; with Salesforce, you can create the contact there too.
Can lead statuses update my CRM?
Yes. On a CRM lead source, tick Write status changes back to the CRM lead. Contacted, meeting booked, qualified, disqualified and converted are then written back to the CRM lead. Each update is visible, and retryable, under the CRM's outbound operations.
Can I find leads quickly?
Search by name, email, phone, company or what they asked about, and filter by status, source, owner agent and date. Filters are kept in the address, so you can share a filtered view.
Can I see Leads on my phone?
Yes. Leads, playbooks and scheduling are designed to work on a phone.
