Swarm and Activity: watching and stopping your agents
When agents talk to your prospects without a person in every loop, you need two things: a live view of what they're doing, with a way to stop them, and a complete record afterwards. Swarm is the first; Activity is the second.
What does Swarm show?
Work → Swarm is a live view, refreshed every few seconds, of:
- tasks running and conversations open;
- the Platform lane, with how much of this month's platform allowance is used;
- conversations waiting for a runner;
- sends the gateway has blocked, with the latest decisions;
- active stops and auto-pauses.
How do I stop an agent?
Every stop asks for a reason, which goes into the record.
- Stop on a single task cancels just that piece of work.
- Stop everything (admins only) makes the platform refuse every send in the workspace and pauses running work until an admin lifts it.
Stops are enforced by the platform at the point of sending, so they hold no matter what an agent is in the middle of. Lift stop lets sends through again; paused work stays paused until someone resumes it, so nothing restarts by surprise.
Do agents ever stop themselves?
Yes. Work pauses automatically if, within a time window you set, it sees an unusual number of opt-outs, refusals, negative replies, or more AI spend than expected. The thresholds are in Governance → Contact hours & limits, and auto-pauses appear on Swarm.
What does Activity record?
Work → Activity is the single record of everything your agents did: every message sent and received, every outcome and every hand-over. You can filter the feed by task, agent, channel, contact or kind of event, follow a single conversation, and open any conversation from its entry. With the detail switch on, you also see the agent's individual steps and decisions.
Can someone check the quality of finished conversations?
Yes. The Review queue tab collects a sample of finished conversations for a person to read. Mark reviewed or Dismiss each one. Under Settings, admins choose what share of finished conversations is sampled.
Can finished conversations teach the brain?
Yes, if you want. With Learn from finished conversations switched on, a finished conversation's transcript is added to your Documents, so later answers can draw on what was said.
Who can do what?
Anyone in the workspace can watch Swarm and read Activity and stop a single task. Stopping everything, lifting stops and changing Activity settings are for admins.
Where do refused sends show up?
On Swarm's gateway panel and, in full, under Governance → Blocked, each with the reason (opted out, outside contact hours, over a limit, stop in force and so on).
